Arrow Company profile....

GH Office Depot is a company which sells different products specifically it is called as a supermarket-type of stationery store. It started as a small office stationery dealer in year 1967. The GH Office Depot carries in its inventory more than 12,000 items of office items to serve its clients. The company keeps on updating and upgrading its list of items to cope up with the current trend in office management. And to serve its client with the latest and most up-to-date office supplies and equipments.

In Relation to our task:
The company has only one IT personnel. He is the one who manages the system of the company. The company uses different kinds of systems example of those is the POS or Point of Sales System, I think almost all of company’s uses that kind of system especially those who cater big transactions.
When we say IT practices what comes first to our mind is computer related works, well it’s true that all IT practices are related to computers. In GH the usage of Technology is very essential due to the increasing demand and to the development of the company. They use different facilities; some of those are the Biometrics Scanner and the Bundy Clock.

The Interview
The said interview that we had conducted is successful; their personnel answered all our questions related to their IT practices. He said that because of their It practices could help a lot in their day to day transactions.

Reflections:
Based on our interview, I think it is better for the company to be updated to the fast changing technology. If you would ask me why, it is because if the company is updated they could give the services needed by their customers. Technology can be a big factor to company’s success it can lessen the company’s burden when it comes to communication. As a matter of fact, the company uses the online monitoring of employees for their boss to know what is happening in his company while he is not around.

Our first assignment in MIS( Management Information System) we were asked to choose a local organization or any company and we must study there best practices about Information System and Information Technology. The local company that i chose is 1 of the big retailer industry, National Book Store.

National Bookstore is the largest bookstore chain in the Philippines with 92 branches in the country.[1] It was set to open its first overseas branch, in Hong Kong, in September 2007.

Luck is only a small part of National Book Store's success. Through the hard work and powerful leadership of Socorro Cancio-Ramos and the late Jose Ramos with their family, the company has evolved from its humble beginnings into the biggest and strongest bookstore chain in the Philippines.

Before I start to describe there best practices in IS/IT, I'll give some information about the company and just a brief history about this company.

The first National Book Store started as a stall shop in Escolta before the Japanese occupation selling supplies, GI novels, and textbooks. When war broke out, strict book censorship forced them to shift their trade to soap, candies, and slippers. They bought their merchandise from wholesalers and peddled them to smaller retailers.

Liberation came, but the whole Escolta area was burned to the ground. Having all their stocks reduced to ashes left the couple with nothing but determination and an undying drive to succeed. And their persistence paid off. They were able to rebuild a barong-barong in the corner of Soler and Avenida Rizal in time to catch the post-war business boom. They went back to business using their door as a counter for selling textbooks, notebooks, pad paper, and pencils. Business went very well because during that time, there were only a few stores that sold school supplies and books. National Book Store's opening was strategically timed to welcome the first postwar school year.

Information System (IS) refers to a system of people, data records and activities that process the data and information in an organization, and it includes the organization's manual and automated processes. In a narrow sense, the term information system (or computer-based information system) refers to the specific application software that is used to store data records in a computer system and automates some of the information-processing activities of the organization.

National bookstore began practicing their IS/IT as for now, because of this practices, there company become very popular in every place here in Philippines. As they use technology for their means of selling some of there products, it became efficient on handling each of their succeeding projects. It will be more productive and may easy to convey clients.

National Book Store ONLINE
-a web application that manages activity information about every products and news for everything. The administrators are able to enter activity information (including contacts, new franchise stores, collective books and everything) and provide reports on the progress of there company throughout the year for their grants.

Network Management
-this is consider as the best practices of this company, this manages the company and there network as the system launches enhancements for there work. Another thing to consider is the High-end computers, sophisticated software, and other devices are being used to speed up everything which involves the online processes of the company.

As the company acquired Information System in there work spaces, it's totally visible in the company because as what I've research, the growing of National Book Store franchised stores speeds up to higher level. From a simple, not too big company to a productive and progressive one.

Written questions were given to them and after a moment they suggested to give the answers through emails. Without any other choice, we agreed and waited for the response until noon the next day…

Hi! Sir Randy! I and Ma.Ann Kristine Tomada chose the same company. We went to many companies all of them were declining us to have an ambush Interview. Some of them don't have an IT/IS, some of them required us a letter for us to be able to conduct an interview, some of them just an In-charge in their store. But fortunately one company accommodates and gave us a minute to answer some question that we provide for them. We ask them if they Have an IS in their company, the MIS System Analysis said Yes, they have a payroll system, accounting system, HR System etc. Their transaction were already electronically base. They are currently using a Microsoft Visual Fox pro for their front-End and a MS-SQL for their Back-End. They don't have any agencies who maintain their system but they have an own maintenance officer for their system.

As an advantage having an IS(Information System) help it a lot to their company.

1.)They can easily transact into one another especially when transacting the customers cares.

2.)For the benefits of the employee their salary are on time because they have an own payroll System.

3.)Retrieving some files is not hustle for them because of the help of databases.

Additional for the advantage of having the IS(Information System) in their company was they are more competitive to other company’s. The programmer and the DA (Data Administrator) was an ordinary employee like accountant, clerk who they sent to Manila to studied a programming language like visual fox pro so that their employee would have an idea to maintain or make a system for them. As a part of their development in their IS(Information system) they are now trying to link all of their 110 branch from mindanao,visayas to palawan into one Interconnection. Actually they are already linking each other but the point is the company want to try the web base. Their programming language is trying to convert into Internet programming language so that it can easy to access their entire branch. One of their target to develop their IS are the SAP R/3 . SAP R/3 is arranged into distinct functional modules, covering the typical functions in place in an organization. The most widely used modules are Financials and Controlling (FICO), Human Resources (HR), Materials Management (MM), Sales & Distribution (SD), and Production Planning (PP). Those modules, as well as the additional components of SAP R/3, are detailed in the next section.
Each module handles specific business tasks on its own, but is linked to the others where applicable. For instance, an invoice from the Billing transaction of Sales & Distribution will pass through to accounting, where it will appear in accounts receivable and cost of goods sold.
SAP has typically focused on best practice methodologies for driving its software processes, but has more recently expanded into vertical markets. In these situations, SAP produces specialized modules (referred to as IS or Industry Specific) geared toward a particular market segment, such as utilities or retail. Their maintenance officer can be found at their main office located at Bajada.

For the Best Practices that they were Implemented for their IS, They plan it well and carefully analyze those System before launching it. They train some employee to used that system and make a daily recovery,weekly recovery, monthly recovery and yearly, of course their backup was placed in the outside of the company maybe in the other building on where the server can be found or may be in the other country in case of emergency like fire. Their Internet connection cost php 400,000 monthly and their IBM server cost of php 30,000,000.00. Wow!!! That so expensive, all i can say EMCOR have a great IS in their Company.

I learned a lot in this assignment because I got a lot of Ideas on what is the best practice of Information System. And having an IS(Information System) give a big advantages for the business companies like EMCOR because all of their transaction was make them simple and easy to used. Although that was so expensive but thats the one of disadvantage of using database.

Regarding the deadline that you gave Sir we didn’t complied it on time for the reason of. First we communicate the san pedro branch yesterday we got some problems regarding the topic that I want to know from him, the person that I talked to yesterday was not the IT/IS In-Charge. And they told us that we can return by this day. Unfortunately, we have some misunderstanding with the staff that I have talked. One of their staff told me, that san pedro branch are for sales only. Their main branch is the bajada branch. Their HR Department and the MIS/EDP branch is located in Bajada . Suddenly, the ISO officers conduct a seminar for the MIS Staff and HR Department. That’s the reason why we past this assignment late. Hope you consider us Sir. hehe! God Bless!!!

The assignment 1 is to discuss the best IT/IS practices of the company(s) that you have visited. Together with my classmates, we visited 3 companies and these are: Callbox, Global Connect e-Solutions and Concentrix, so let me tell you what and how it happened…

Its just yesterday, we realized that we really have to visit the company that we intend to share their best IT/IS practices. Sir Gamboa said, we are obliged to show evidences that we have interviewed the company and asked permission from them for we are going to post the MIS facts of their company on our own Blogs.

My classmates and I had a brainstorming of different IT companies; first on the list was Callbox, for it is the nearest call center from our school. But before going to Callbox, we had our letter printed and we’re ready…

Callbox is a call center, which occupies the 9th floor of LandCo building along JP Laurel Avenue. At first, we were doubtful if they are willing to entertain us because as we tiptoed inside their office, no one was there so we went back outside and went to the ladies room (except john) to finalize our questions. Suddenly one of their employees approached us and asked what we need, so we went back inside their office and gave them our letter. One of the MIS guys, said maybe we can write down our questions and come back Friday, with this, our eyes widened.. Shocked .. for we need the information as soon as possible (not so demanding) Twisted Evil . The guy suggested we just have to leave our email address so that they can send it at around 6 pm, so since me and john have an internet connection at home we wrote down our email addresses, we were relieved at last. When I got home, I stayed online until 2am but got no email. So unlucky… Crying or Very sad

This morning after our class, we decided to interview another company since Callbox haven’t sent an email yet. We went to Global Connect e-Solutions office, the company where I worked for 5 months last semester. I am so confident that we will be successful this time, since I personally know some of the MIS staff. Unfortunately, they are having a meeting that time, so Mr. Rhyan Diansay the Company Programmer of Global, asked for the questions and instructed us to come back at 12:30 noon. So I went back, and had this statements from Sir Rhyan…

Arrow How do you define MIS in your company?
According to Sir Rhyan, a management information system is a subset of the overall internal control of a business covering the application of people, documents, technologies and procedures by management accountants for solving business problems.

Arrow What are the best practices in IT/IS in your company?
For Sir Rhyan, a best practice is the belief that there is a technique, method, process, activity, and incentive as reward that is more effective at delivering a particular outcome than other techniques. He also added that shared knowledge and group performance are their best practice.

At Global Connect e-Solutions, Sir Rhyan Diansay is the main programmer and the rest are technicians who do the troubleshooting and minor programs and databases. In addition, Global also use a Biometrix System which is exclusive on their company.

While waiting for the Global’s answers, we proceed to Concentrix, which is 1 km away from Global. Luckily, this time we had interview their MIS Supervisor with the help of our friend Leo who works at Concentrix.

Mr. Christopher Lim is the MIS Supervisor of Concentrix and according to him, MIS department is the core of the company for the reason that it is a technical call center. They develop their own system and its exclusive for their company. They offer services not only locally but also globally. Concentrix servers are accessible in different locations and they have 30 servers here in Davao. Sir Lim discussed to us the basic functions of their MIS department and these are the following:

Idea Level 1 – help desk
Individuals in this level repair, install and troubleshoot. They are also responsible for the networking, user configuration, the access and the different restrictions.

Idea Level 2 – Network Specialist
They manage the deeper aspect of troubleshooting and they serve as mentor for level 1.

Idea Senior Network Specialist
They are responsible for configuration of servers, telephone companies, management of all the access. In addition, they are the ones who suggest whether they need to upgrade or not.

Idea Supervisor
This person is the leader of MIS department. He/she does the decisions for the changes and does the recommendation for all accounts.

sunny Mr. Lim said that the MIS department best practice is teamwork, there constant evolving and more.

DTI Overland Transport Corporation (DTI-OTC) is an affiliate of AMS Group of Companies. In tractor leasing, DTI-OTC has also an exclusive contract with its affiliates. To date the company has 126 farm tractors, far ahead of its closest competitor, which has around 20 units. In heavy equipment rental, DTI-OTC also holds an exclusive contract to serve the needs of its companies. Competitors are relegated to sub-contracting their units to DTI-OTC. Additionally, the company has seven bulldozers, two graders, one pay loader and three dump trucks. The transport industry is a crowded business with big players having contracts with corporations. Major clients are agricultural companies exporting tropical fruits.

The need to strengthen and increase the fleet of haulers is in the offing due to the expansion in terms of additional hectarage being done by the companies. Coupled with the onset of changing the technology, changing requirements and aggressive competitors, DTI-OTC has to have processes in place to focus on continuous improvement. Much as DTI-OTC is aware that the achievement of short-term goals and objectives so far made by the company is just stepping stones along the way, it cannot afford to rest on its laurels; rather the company has to be continually innovating and improving its technology and services to maintain a leading edge.

Presently, DTI-OTC holds office in a 5.6-hectare lot owned by AMS Management Corporation. The Total space occupied is 972 square meters and includes the office, warehouse, shop, bunkhouse and the canteen. The Company is given free use of space. The Company has 130 employees and maintains five (5) shops to attend to the repairs and maintenance of company trucks, tractors, heavy equipment, trailers and service vehicles in Davao City, Davao del Norte, Compostela Valley and T'boli. Purchasing is centralized in the main office. 99% of business is with affiliated companies.

Company Profile:

Lapanday Foods Corporation is known today as one of the leading fresh produce growers and exporters in the Philippines; but years ago, its beginnings were planted in a small seed. On three parcels of land near Davao City, banana farms had flourished in the 1970s but had become virtually abandoned in the 1980s as world oversupply depressed banana export prices. Luis F. Lorenzo, Sr., whose family had deep roots in Mindanao, looked at these lands and saw the opportunity amid the challenges. The Lorenzos acquired the Guihing, Lapanday, and Cadeco farms from the Ayala-Aboitiz group in 1982.

The early 1980s were turbulent times in Davao, which was then the site of armed conflict between the military and the communist insurgents. The Lapanday farms were unfortunately caught in the crossfire. In spite of the threats, the Lorenzo-led management focused on turning the business around and working with the farm managers and workers to hurdle the operational and labor problems. Eventually, with the advent of the Aquino administration and the formation of the Lapanday Labor-Management Cooperation Council, the agitation and violence gave way to peaceful and profitable agricultural operations.

The Lapanday farms, and eventually the Lead Export farms (composed of Farmingtown, Evergreen, and Delta), produced and packed Cavendish bananas for Del Monte. Two other farm groups acquired later – Malalag Ventures Plantation in 1992 and Tortuga Valley Plantation in 1993 – became growers for Unifrutti / Chiquita. The confidence given by these international brands attests to the export quality of Lapanday-grown bananas.
1997 was the turning point that marked Lapanday’s expansion from being a grower and packer for multinational brands to being a respected exporter and regional produce supplier in its own right. The first Philippine brands of fresh fruit were introduced to the global market – “Mabuhay,” “Estrella,” and “Aloha” – all grown and packed in farms owned and managed by Global Fruits Corporation, a fully owned Lapanday subsidiary. As it continued to integrate forward, Lapanday established Davao Cold Storage Corporation, Fresh Asia Produce Company International Corporation, Mindanao Fresh Produce Services Corporation, Lapanday Packaging, Inc., and Lapanday Diversified Products Corporation to strengthen its supply chain.

"OUR JOURNEY"

Looking for a company was not an easy task. You need to be persistent and never give up. It is like a journey that needs lots of courage and determination.

Last 24th of month June, 4:30pm I with my groupmates (Millena, Mapalo, Adaptar, Gonzales, Mancera, Llemit) decided to visit some companies to inquire. We visited first the AMS Group of Companies. But sad to say, they told us that they use the old system of file keeping, the “paper based”.

The next day, we made a plan first before doing a move. First, we listed all the names of our desired company. Then, we searched some information about those companies and their locations. We visited Phoenix Petroleum Philippines Incorporation, trying our luck. But sad to say, they did not permit us for an ambush interview because we must present a letter addressing to HR head and state there what is purpose of having an interview with them and who are we going to interview. Then, they rescheduled us for a next meeting..(hay..) so sad.

Discussions:

With those information on the top, I can say that this company have many best practices in the field of the IT and IS. Some of these practices that I think it can truly help to develop the skill of the IT/IS,some of these are as follows:

1.Network / good server system- I can say that having a good server system and networking has a great effect in terms of the e-business. Making it more competitive to other companies. Example of the importance of a good networking of a company is on the connectivity of the databases of the the company to it's other branch. Making this task such require a good skills in order do this.
2.Effective databases- I can say making this a big and complicated databases also require a good skills. Example of it's important part is the payments of the customers that it should be a well plan database also the recovery of the database on how you deal with when it encounter problems such us loss of data.
3.Equipments use- I can say also that having the best equipments in this kind of company is very important also because even how good your networks and databases but if your equipments are not that good to handle this, it's obvious that this is useless. You can also expect a large effect to your business.
4.Administrators- particular in the part of the IT people to have a good plan to it's databases. A well plan to it's future development and the smooth flow of it and the effectiveness of it's work to the benefit of the company.

With respect to the assignment given to us by Sir Gamboa, we are task to identify a local organization(s) and to discuss some of the best practices in
Information Technology or Information System that they have, I, together with some of my classmates, visited some of companies to comply the said
assignment. The companies that we had visited are the following: Callbox, Global Connect e-Solutions, and Concentrix.

Yesterday, a visit had been conducted in Callbox located at the LancCo Building, 9th floor. We discuss with them the real motive of visiting there
office and we are glad that they shared time through listening. Because of important matter, the person involve in answering our question had
some important things to do so he decided that we will just leave the questionnaire we had, he’ll do answering our inquiries, and just send it to
our e-mails. We had nothing else to do but to thank them and wait for the e-mail they had promised. From the moment,
we are still waiting for that response.

On the other hand, Global Connect e-Solutions was our second prospect company which is located at Bajada Street. We are pleased that
Mr. Rhryan Diansay, the company programmer, entertained us but still, like in Callbox, he was in meeting at that time so he just let us leave our

Furthermore, the last company we had visited was the Concentrix, just a kilometer away from Global. At last,
this company had really shared their time with us by letting our interview be conducted even it is immediate.
The same with questionnaire was given in this company just like in previous companies. The person concerned

Help desk- they are the one whose responsible in repairing, troubleshooting, installing the units in their
company. Creating user accounts, accessing and restricting from sites was also there responsibility as well.

Network Specialist- just like in help desk, their work is similar but they are more knowledgeable compare to
help desk and they are considered as the latter’s mentor.

Senior Network Specialist- with higher position than the previous mentioned rank, these people are responsible
for the configuration of servers, telephone companies management access and they do suggest for the upgrades.
Supervisor-in this person the decision-makings are made. They are the one opt for changes and recommends for all accounts.

There were two companies that we visited to discuss some of their best practices in IS/IT.

The first company that we visited was the Global Connect eSolutions located at Global Connect eSolutions Building, Km.6, J.P. Laurel Ave., Bajada, Davao City.

The company’s MIS also are the ones who makes their system. There system not only records data but it also records voice.

EMCOR Davao (Engineering Machinery Corporation) is the leading company of and market leader in the field of appliances, electronics and motorcycles. EMCOR is a 100% Filipino company whose primary business activity is the retailing of household appliances and motorcycles through the operation of retail stores in the islands of the Visayas and Mindanao, Philippines. The household appliance product lines consists of popular brands like National/Panasonic, JVC, Philips, Sony, Goldstar, Sharp and Samsung. The motorcycle product group comprises the leading brand in the market like Kawasaki, Yamaha, Honda and Suzuki
This company was the only one who accommodated us to conduct an interview for this assignment. Basit and I had the same company. We both experienced turning down by the other companies we previously visited. But we strived and did the highest level of our best to have a company to conduct our study. Fortunately, it was all paid of because EMCOR allowed us to ask questions about there IS/IT to their company. We first visited their branch at San Pedro, but Sir Raymond, officer in charge, preferred us to go to their head office at JVR Bldg., J.P. Laurel Ave., Bajada,, Davao City.
But before we conducted an interview with Sir Alex and the MIS manager, we made some research about their company’s history like who founded EMCOR, what are services they rendered to the people and a little bit information to their company for us to be able to visualize what would the probable systems do they have. Here are my researches:

Emcor was founded by JESUS V. DEL ROSARIO in 1958 originally under the name of Engineering and Machinery Corporation (EMCOR) as the franchise dealer of International Harvester (IH) in Mindanao with its base in Davao City. In 1976, it shifted its product lines to Kawasaki motorcycles and National-Panasonic appliances. Despite the shift in product lines, the company retained the acronym EMCOR to take advantage of the popularity and goodwill the name had generated over the years.

Today EMCOR is a 100% Filipino company whose primary business activity is the retailing of household appliances and motorcycles through the operation of retail stores in the islands of the Visayas and Mindanao, Philippines. Actually, we were not able to have a chance to ask more about their system because they had a meeting regards to their present system they have right now. But still Sir Alex gave us a little of his time even if it was a lunch time. He imparted to us they have system in company, such as payroll system, accounting system, etc. Different languages they are using in their system, like Microsoft Visual Fox Pro, MS-SQL and many more. In maintaining their system and for trouble shooting, the have Internal Programmers which was an ordinary employee who had interest in programming and they let them studied in Manila to learn more in programming languages.


As of now, the company is planning to translate their present programming language to a new one by the help of SAP. (It was my first time to hear about SAP, and I found out it is the largest European software enterprise and the fourth largest in the world. Wow!) They want to interlink the entire systems EMCOR nation wide. At this moment, EMCOR is planning to upgrade their system so as to be more convenient and easy transact to their customer.



Now, that they are planning to have an upgraded system, they should need an Information System Plan or apply some best practices in IS/IT. He mentioned the things they will going to do when they will have their new Information System. First, they will going to discuss who will manage the new information system and what are the things they must do to manage the system properly. Second, they will also study their data for them to know what data from the old system will be transferred to new one .Lastly, their Internal Programmers or IT staff will be trained on how to troubleshoot the new system if problems will occur to their system. And because it is a new system staff who will use their system should study well the function of the new system.

Since my chosen organization DSWD was rejected or less for a reason. I contact a friend last night who works with Dole and she scheduled us for a meeting today. So she gave me the details where will be the meeting and who is to meet. I told my friend that the type of interview will be an ambush interview because our letter of intention to be presented to the company is not possible. So she told me that someone in the MIS Department will be available for an interview. The meeting and the interview took at SJRDC Building, Lanang, Davao City; this is one of the remote offices of the department of Dole Philippines. The meeting was successful together with my classmates, the interview ended nicely and the conversations contributed below.

Since some information during the interview is highly confidential I will limit my report and some are not included. One of the programmers in MIS was our interviewee.

In our first Question about how do we identify Dole’s IT/IS? According to her it is identified according to category. Dole’s It Department is categorized. Dole Davao is categorized as local category and has MIS department. MIS department has internal programmers and web developers. Dole has system for every department like for payroll, production, logistics, manufacturing and etc. like other organizations do, and some of these systems are integrated by a system handled by their regional office. We also ask who develops and maintains their systems. The answer is the mostly their internal programmers. Since outsourcing is not an ideal way for the company aside from leaks and other security risks. Having internal programmers is cost effective and time efficient. Why since they develop system they maintain the system and they do backups so when one of the IT programmers will resign the operation of the company will not be compromised if there are certain problems arise.

Among of the questions, we discussed much on their practices on IT. And practices are the following:

Best Practices

Determine the project
They do planning on what the project is all about. They do analysis on what is to develop and to what is to upgrade. They plan the scope and the description of the new system to be developed, identifying the uses of the system and to identify who will benefit the system. They determine the cost of the project and the timeline of the project. For example if the company has certain problems that needs a system to be developed then that is the time to determine what is the best system as a solution to the problem.

Involve the User
Since users are departments inside the company. The request of a change of the system or new system came from the user. They do procedures to inform the departments on the changes or updates to the system. It is very important the users in the respective departments will be inform to know also the views of the user if there is really a need of changes and revision to the system. Involvement of the users in the development of the system can help programmers achieve their goal in with accuracy. Users are the people who will benefit the best system be implemented.

In this step the system analyst analyzes software to be used, the hardware specification, and the compatibility of the system to the hardware. And analyzing the cost of the system according to the software being used and the hardware purchased.


Development
After the analysis is completed programmers will begin to develop the system.

Testing
Before using the system, programmers ensure the quality of the system. Testing is very important in most aspects in programming especially when we ask the question: is the system is a user friendly? Easy to navigate? And etc... In this way the programmers will know the capability of the system. Testing can help eliminate errors and other bugs that may occur during the operation. So before deploying the system they see to it that the system is ready for deployment. In other way testing can identify the weaknesses of the system, and help the programmers identify some revisions of their system and this saves time. Without testing faulty system can affect the operation of the company thus aside from expenses it can affect the performance of the whole organization.

Implementation
This time the system is ready error free and ready for deployment.

She also added that they have annual trainings and forums to keep them informed of the new software trends to help them performed up to date. Dole has an annual budget for their IT programmers and web developers and this is one of the priorities of the company for their employees.

To end this Dole Philippines is a good example of an organization that has a systematic and organized IT/IS. Their IT programmers’ developed their system according to the needs of their users or departments. For them Information System is the brain of the whole organization because it has the information of the company, the transactions, and other related information needed by the users and it keeps the data.

Yesterday, June 24, 2009, we were supposed to have our letter signed by our adviser. Our chosen company was approved, however, there are some revisions needed to the letter...so, we need to present it again today. But unfortunately this day, Our adviser is in his out-of-school campus appointments, thus, making our letter remain unsigned.

Go for our alternative solution.

Despite of lack of approval, we decided to make a phone call to our chosen companies. Gladly, one of them had positive response. Rolling Eyes

Yesterday, we have already contact a person to interview but unfortunately he was not around it’s because of having an emergency, that’s why we have to look for another organization or company to interview. Last night, we contact our friends in different companies we know and ask a favor. Finally, one of the companies that we’ve contact, respond on our request. There’s an available person who is willing to be interview and give us her vacant time. She is an MIS programmer in one of the offices of Dole Philippines and to be interviewed at SJRDC Building, Lanang, Davao City. We told our friend that the interview that we are going to conduct is an ambush interview.

During the interview, there are lots of questions we ask to the MIS programmer. The first question we ask was “How do we identify Dole’s Information Technology and Information System?” According to her, DOLES IT department is categorized as IT for Regional and IT for local. In their branch, they are categorized as IT for local and they are divided into two groups: the application group and technical group. In the application group, software and system are being discussed while the technical group discuss about hardware and the network. She also mentioned that they are using different systems categorized according to their departments such as payroll system, production system, logistic system, research system, manufacturing system and many more. DOLE has internal programmers that develops and maintains the system to be used by the company.

As she mentioned earlier, DOLE has different systems in every department. We ask her if they have a system that connects all the systems from different department and she says “yes” but selected systems only because they don’t have an integration warehouse yet.

Among all the questions we ask, we are very much concern about this question, “What are the best practices in IT/IS?”.

In DOLE, as the programmer said, the best practices are as follows:

Determine the project

Is the capability to find, retrieve, report, change, or delete specific data without ambiguity. This applies especially to information stored in databases.

In making a system we or programmers should identify first or determine the project for them to know what they are going to make and they’re planning on how to develop the system. They identify the uses of the system. They determine also the cost of the system they’re going to develop it must be cheaper, but a good system that can make there companies improve or succeed.

System Analysis

Dealing with analysis of sets of interacting entities, the systems, often prior to their automation as computer systems, and the interactions within those systems. This field is closely related to operations research. It is also "an explicit formal inquiry carried out to help someone, referred to as the decision maker, identify a better course of action and make a better decision than he might otherwise have made. The systems discussed within systems analysis can be within any field such as: industrial processes, management, decision making processes, environmental protection processes.

Before I discuss some of our chosen local organization’s best practices in Information Technology/Information System, I would like to share a little bit of what we experienced before we finally conducted our interview for this assignment. Our first choice was really the Department of Social And Welfare Development or DSWD. However, Sir Randy did not approve our letter because he wants us to go to private companies for some reasons. So, we considered our last option which is the AMA Computer College because we already arranged a meeting with the school’s IT personnel before we asked Sir Randy to sign our letter for DSWD. Unfortunately, he had an emergency which caused the cancellation of the interview. That is why, we went to the remote office of Dole Philippines, Davao in Lanang and there we interviewed a company Management Information System Programmer. What happened was an ambush interview and that the programmer was really on leave and that she only went to the office just for us to be able to conduct an interview.

BEST PRACTICES:

Inform The User
It was mentioned in the interview that in making or changing a system, some things must also be considered like the user. I agree with what the programmer has mentioned and as for me, if you are going to create a system, you will have to inform the user about the new system so that the user will be prepared and will know what type of system will be created, how the system flows, what will be its purposes and what will be its uses.

Systems Analysis
The programmer mentioned that in systems analysis, you have to analyze what kind of system is needed and that there is budgeting.

I agree with what the programmer said and in my opinion, during systems analysis, the developers must know first the needs of the user, the type of system they will develop, the time frame of the project and the cost of the project.

Development
For me, after careful system analysis, that will be the time that the system will be developed.

Testing
In my opinion, before the system will be implemented, it must be first tested for any errors that might occur.

Implementation
In my own opinion, after the development of the system has reached its perfection, that will be the time to implement the new system.

IT Outsourcing and Internal IT
Aside from the five protocols or practices mentioned, the programmer also discussed the difference between IT outsourcing and having an Internal IT in the company. According to the MIS Programmer, IT outsourcing needs to be updated but the IT company does not have to be because it is their own system. In IT outsourcing, they sell the system and follow whatever is the trend or if not, they will be left behind due to the competition. But the Internal IT does not have to follow the trend because they do not sell the system and that there is no competition between the IT department besides, their clients are the departments which are within the company unlike in the outsourcing whose clients are the external companies. Moreover, the programmer mentioned that the outsourcing must follow whatever is the market standard, because if not, they will not be able to sell their product to the companies. Not like in the Internal IT, whatever is requested from them or whatever system can be offered to the company, it will be the system that the company will adopt - that will be the system that they will produce for them.

The advantage of having an Internal IT as what the Management Information System Programmer said that if you look on the IT perspective, the Internal IT is advantageous than IT outsourcing because you create the system, you maintain the system and the overhead cost is cheaper in the long run and the only downside is when the IT personnel will leave. That is why everything must be documented.

The programmer also added that in the business perspective, it would be most advantageous if you use IT outsourcing for the reason that the business will stand whether you have an internal IT or not because you will have a contract outside the company. So the IT outsourcing company will be consulted whenever a problem will occur. If one personnel of that IT outsourcing company will leave, it will be the outsourcing company’s problem. In terms of security, internal IT is more secured than IT outsourcing. Within the internal IT they it is already the bylaws or it is already mandated by the mother company that this is the IT protocol or this will be the protocol to be followed. The latter is also acceptable because security is also a part of the service contract. At the same time, IT outsourcing also a disadvantage because they are outside the company unlike in the internal IT which is held by the company.

If I am a company owner, I will want to have an internal IT department because having one is cheaper than purchasing products from IT outsourcing companies. If I have one, I will be able to request systems which have functions that I specify according to my needs. Moreover, an internal IT department, knows more about the needs of my company in terms of database security and system flows.

Annual Training
According to the programmer, the company also conducts an annual training which is budgeted to keep their personnel updated and that in IT, it is their only advancement for their personnel. They also adapt whatever was trained to them.

System Security
In terms of their system security, the programmer said that they have not experienced hacking and that their security is verified by verisign who checks the security of the company. She added that verisign is a company who checks if the site is vulnerable. They also have firewalls that they use to protect their system.

MIS and ICT
According to the programmer, the new name of Management Information System or MIS is Information and Communication Technology or ICT because Management Information System is usually under the finance but once you are called Information and Communication Technology or ICT, you will be detached from the finance. It is not part of any other department in the company but is solely a separate department.

Definition of IT/IS
Finally, the programmer defined Information System or IS. IT is called the brain of the company because the IT holds all the information which is used for business. These information are used as basis as to what must be done.

Our assignment no. 1 is to identify a company/organization(s) best IT/IS practices. In connection with this, as of June 24,2009, we(adaptar,amancio,millena,llemit,mancera and gonzales) decided to find certain company or organization to conduct an interview in order to answer a certain assignment. But, we're unfortunate that day because when we are ready with our letter for the approval to our professor, we need to make revisions and he also need first the profile of a company which we don't know yet.

June 25, 2009 - this is the second day of trying our luck. We surfed the internet to find different company's profile to present to our professor with the letter to be approved. But, unfortunately again, our professor is not around. He's very busy with his business appointments. Crying or Very sad On the other side, in order to save our time, even though we don't have an approved letter, we tried o call some company. Including to our list of companies and also institutions are:

Whem we arrived there, we're amazed of their big tanks. And then after that, we introduced ourselves where we are from what school to the guards. Two of our classmates,Adaptar and Gonzales had the conversations there inside but unfortunately, we did not have the time to proceed to interview because they need first the approved letter. We're very dismayed. And now, I will just post some informations about the Phoenex and then next time after we can interviewed their in-charge I will post about the assignments.

July 2, 2009 - Our group visited the GH Office Depot Bldg. to give the approval letter fro our company.

July 3, 2009 - That day, at exactly 2:30 pm, we went to GH Office Depot Bldg. to conduct an interview to their IT personnel. Gladly, we were intertained well there. So, we did not hesitate to do our purpose.

Their IT personnel look like a fresh graduate. We feel comfortable to question him. First, I will give you some informations about their company.

The company started as small office stationery dealer in 1967. By the grace of God and through its continuous quest for quality and better products to serve its clientele. It has gained the confidence and patronage of its clients. The clientele expanded to what it is today, a big solid majority share in the market.
The company opened its door to the general public in 1995 by opening up a modest yet modern retail outfit. A supermarket-type of stationery store. The concept was overwhelming accepted by the general public.

The retail outlet and network continue to grow and expand. Today, it is a big business outfit housed in a modern complex with all the convenient facilities and amenities.

The GH OFFICE DEPOT carries in its inventory more than 12,000 items of office items to serve its clients. The company keeps on updating and upgrading its list of items to cope up with the current trend in office management. And to serve its clients with the latest and most up-to-date office supplies and equipments.

When we asked their IT personnel about their IT best practices, he just mention back upping of files. This is very important in the programmers to back up files in order to have a copy if ever there's malfunction of their computers. He also said that their facilities(technological) can be include to their best practices. Some of which are, cctv, biometric, barcode scanner and inquiry, also their cameras, especially their website. The one whom monitoring or assigned for cctv is their boss. He said that since it is a family owned business, if ever there's some request like for example request of resigning, that will directly go to their boss/manager. There system is just new to upgrade as he said. They were able to used dos operating system but now, for the server they have XP. They have also Windows 2000 and Vista.

The Company hunting..


Honestly speaking, DOLE Philippines was not actually our first choice as the company to feature in our first assignment.

Last Wednesday, the original plan of our group was to interview the assistant of the IT manager of the AMA Computer College. He agreed to have an informal interview outside their school because outsiders were not allowed in their campus. But due to an unexpected circumstance he was not able to meet us and therefore will have to cancel our appointment.

The plan B was to interview one of the IT personnel of the Department of Social Welfare and Development or DSWD where one of our group mate works. The DSWD needed a formal letter signed by our instructor to accommodate us. Unfortunately, sir Randy did not approved our chosen organization and deliberately specified that if possible that we should adopt a private company to have a more meaningful learning experience.

And so the search goes on…

Fortunately, thanks to Anthony’s connection, one of the MIS programmer of the DOLE Philippines agreed to meet us at SJRDC Building, Lanang and answer our questions concerning our assignment. Hurray!

Best IT/IS practices..


Based on our interview last Thursday with one of MIS programmer of DOLE Philippines, here are the best practices in IT/IS that I picked out..

1. Provide Backups and Recovery Plans in any system or project.

This is probably one of the most common and most important thing to consider when creating, implementing or on the process of maintaining a system. Backups and Recovery Plans allow the company to have an assurance that the data will not be lost in case the systems accidentally fail.

She mentioned that if you’re an IT personnel, it is practically a rule of thumb to backup everything that you are working on.

2. Annual Training for all IT personnel.

As far as I could remember during our HRM discussions last semester, Training is a must-do for human resource development.

Based on what I understood on what our interviewee said, training of human resources (especially IT personnel) will help refresh or update them with the necessary skills and technical development on their field. Their newly acquired learning and skills will help them make more effective systems in the future and therefore will make them a great asset for the company’s development in general.

3. Thorough System Analysis.

Before making any system for the company, thorough system analysis is very important because this is the stage of the system development where IT pipz answer crucial questions like What specific kind of system does the company need? Or Do we really need to make a new system or just an upgrade?

This is because improperly analyzed and poorly planned systems may result to inefficient and impractical systems which can be a liability instead of an asset for the company.

Included in this protocol is the extensive and thorough planning and budgeting for their system or project especially during a system change.

4. Testing of Systems.

One of their standard procedures after the development of a system is the methodical and meticulous testing of the system in order to (as much as possible) reduce the margin of error.

5. Having an internal IT personnel rather than outsourcing.

According to our interviewee, the DOLE Philippines does not outsource IT people but rather they have their own IT personnel who will make and maintain their systems.

In her opinion, the advantages o f having internal IT in a company are

First, if you would calculate the cost when it comes to hiring IT/IS personnel, having your own internal IT personnel is cheaper in the long run compared to outsourcing.

And second, it is more flexible in a sense that internal ITs can make systems according to their company’s need unlike when outsourcing where it is standardized based on the trend in the market.

Our first assignment requires us to look for a certain organization/s that has its own Management Information System or an Information technology Department. Me and my classmates have our list of companies. Included in our list are the following: Phoenix Petroleum Philippines,Inc, eTeleCare Global Solution, AMS Group of Companies and the GH Office Depot. And After waiting for several days for approval, our instructor approved the GH Office Depot. We then visit the company to ask for approval, but they told us to have a phone call first with the HR Staff then we should present a letter for them. The next day, through a phone call we are able to communicate with the HR staff then to the IT personnel and with no doubt they allow us to conduct an interview in our vacant time.

GH Office Depot started in 1967 as a small stationary dealer. According to our interviewee, which is the company's IT Personnel in there IT department, that the GH Office Depot is a family owned company before and it grew into a cooperative one. It is operated by the Davao GH Enterprises, Inc.The company deals with paper, school and office supplies.He told us that they have 35,000 different items in the present.

The Company, GH Office Depot, as described by their own website, "The company started as small office stationery dealer in 1967. By the grace of God and through its continuous quest for quality and better products to serve its clientele. It has gained the confidence and patronage of its clients. The clientele expanded to what it is today, a big solid majority share in the market.
The company opened its door to the general public in 1995 by opening up a modest yet modern retail outfit. A supermarket-type of stationery store. The concept was overwhelming accepted by the general public.
The retail outlet and network continue to grow and expand. Today, it is a big business outfit housed in a modern complex with all the convenient facilities and amenities.

The GH OFFICE DEPOT carries in its inventory more than 12,000 items of office items to serve its clients. The company keeps on updating and upgrading its list of items to cope up with the current trend in office management. And to serve its clients with the latest and most up-to-date office supplies and equipments."

The organization also offers different services. Such as, Lamination Services, Photocopying Services, Book Binding Services and Desktop Publishing which include lay-outing and printing of Calling Cards and invitations or any other desktop services.

The person we interviewed is the company's IT Personnel in there IT department. He elaborated unto us about the company's different best practices in Information Technology/Information System.

The following are there best practices in IT/IS:

1. Bundy Clock
- As the Wikipedia define, "A time clock, sometimes known as a clock card machine or punch clock or time recorder, is a mechanical (or electronic) timepiece used to assist in tracking the hours an employee of a company worked. In regards to mechanical time clocks this was accomplished by inserting a heavy paper card, called a time card, into a slot on the time clock." The company use this for the casual employee's time-in and time-out.

2. Fingerprint Biometric System
- Refers to the use of a person's fingerprint characteristics for identifying that person. Through the use of your thumb or fingers and with the help of a fingerprint scanner, the regular employee's of the GH Office Depot can have their login and logout. This biometric system is connected to there payroll which is handled by the accounting department.

3. IP cam and TeleEye camera
- Well, when our interviewee mentioned that they are using 2 kinds of security or Surveillance camera. First is the IP cam. As I search the internet for more information about this, it described IP cameras or network IP cameras stream live video via digital packets across an internet protocol network such as a LAN (Local Area Network) or the Internet. The benefit of network cameras, is that they reside on IP networks; the video streams can then be accessed and stored remotely. This enables users to view and/or manage the IP cam using a standard web browser or video management software from different locations, giving businesses increased flexibility. http://www.ipcamerasupply.com/ On the other hand, the TeleEye camera, as defined by www.teleeye.com, "is a full function P/T/Z CCTV camera control unit designed for remote control through telephone network.It receives commands through telephone network and controls on/off power for zooming, focusing, iris for zoom lens, pan/tilt mechanism, washer and wiper for outdoor housing." According to the IT personnel, they have 3 IP cams and 16 TeleEye cameras in there main building. And he told us that the only person who can monitor the cameras is the boss or the owner of the company.

4. Point-to-point Antenna
- I am a bit puzzled when our interviewee said that they are using a point-to-point antenna. Its my first time to hear about this kind of connection. According to him, they used this to communicate and have a connection with there other branch(I am not sure but I guess it is along with Torres St.). Using this they can easily communicate with the other branch in a lesser expense.

Other Hardware Components that is present in their company:
Arrow UPS (Uninterruptible Power Supply) - is also known as battery back up which is also used in the company in their biometric system and bundy clock.
Arrow Barcode reader - as a supermarket-type stationary store, it is essential for them in knowing the price of there items.

The IT personnel explain to us that they are also using a POS or Point of Sale which is very useful in checkouts and for their inventory. In terms of management, he told us that there company is not that strict. Unlike the usual hierarchy, every orders and requests are direct to the boss(we are referring to the owner of the GH Office Depot). Ideally, they always have there back up files. Using a wireless connection, UTP, router, switch, hub, they are able to communicate or connect with the other staff or other department. They also have wifi's for there employees only.

In this assignment, we are to visit a company and discuss their best IT/IS best practices. We were informed by our facilitator that we should present evidences that we really visited a company and interviewed them personally. After realizing what we have to do, we discussed on what company we should go and visit first. Actually, we’ve gone through 3 companies and we’ve interviewed them in due respect to their policies and regulation

First top is Callbox – obviously it’s the nearest so it’s our first choice. As I searched the internet for some background check, I’ve known that Callbox is an industry award-winning full service sale and marketing firm that provides global market access via direct marketing, web marketing, sales support, database services and advanced sales force management.

When we reached their office, which is located at the 9th floor of Land Co building, we then presented our letter informing them that we are to conduct an interview about their MIS (Management Information System) if they permit. Lucky enough, they allowed us but due to lack of time and their busy schedule, they asked us to give out the questions that we are about to ask and they’ll just answer it and send it to our email by 6pm. Right after, we waited for their answers until the next morning but there were no replies. So then, we decided that we got to find another company in replacement to Callbox.

So, the next top is Global Connect eSolutions. It is located in Km 6, J.P. Laurel Ave., Bajada, Davao City. As stated in their company profile, the company provides fulfilment services to both local and foreign clients who desire complementary service in connection with outsourced customer contact management services. Global Connect eSolutions combines specialized knowledge and substantially higher quality customer service to deliver global support solutions, consulting services, back office processing services and software support. We also offer outbound services such as telemarketing, tele-collections, sales verifications, surveys and other derived services.

Sarah, who was with us, is a former employee in the company so she was the one who approached the MIS Department if we can conduct an interview in their company. Sadly, when we went there, they were having their meeting so as the programmer went out and entertain us; he told us that we just have to leave the questions that we are apt to ask in their MIS (same with Callbox, INC.). He said that we just have to get back the answers by 12:30nn. While waiting to their answer, we chose to go to the next company where it’s just a kilometre away from Global Connect eSolutions.

And the last top is Concentrix – a SYNNEX Corporation Company, located in IT Building 2, Damosa IT Park, J.P. Laurel Ave., Lanang, Davao City. It is a call center that offers technical and customer support. SYNNEX offers product distribution, related logistics services, business process outsourcing and contract assembly and works with the leading industry suppliers of IT systems, peripherals, system components, software and networking equipment.
It was an ambush interview but luckily, we were permitted to conduct an interview right way. Mr. Christopher Lim, the MIS Supervisor was our interviewee.

In Concentrix, the basic functions of MIS are the following:
IdeaLevel 1 - Help Desk - they are assigned in repairing, installing and troubleshooting problems; they are also responsible for networking and user configuration.
IdeaLevel 2 - Network Specialist – they serve as the mentor of the Level 1 and manages the deeper aspect of troubleshooting problems.
IdeaSenior Network Specialist – he is responsible for servers and telephone numbers configuration and the one who suggests upgrades in the system they use.
IdeaMIS Supervisor – the one who supervise the MIS department and the one who makes the decisions and recommendations of changes and upgrades in the company.

Mr. Lim added that MIS is the core of the company as based in Concentrix which is a technological call center in which MIS is very essential. So what is their best IT/IS practices? It is TEAMWORK and CONSTANTLY EVOLVING – where they are open for changes and upgrades in order to meet proper demands and for convenience in their clients and employees.

After the interview was done in Concentrix, we hurried back to Global Connect to get the answers from the questions that we left their before we leave. These was the answers that Mr. Rhyan Diansay, the only programmer in the said company, gave us.

What is the basic function of MIS in your company?

cyclops MIS includes software that helps in decision-making, data resources such as databases, the hardware resources of a system, decision support system, people management and project management applications and any computerized processes that enable the department to run efficiently.
