| There is always a procedure or process that is necessary to follow in an enrollment. As a student who envision himself/herself studying in one of the most prestigious university in the Philippines, the University of Southeastern Philippines, he/she must always be alert as well as always prepared in following the different procedures in USEP's enrollment. The use case diagram shown below describes the flow of the pre-enrollment process in USEP. Brief Use Case Description USE CASE: RequirementsBefore getting the admission form, a student must first prepare the necessary requirements needed such as high school card (grades). He must submit it to the University Guidance and Testing Office or UGTO. USE CASE: AdmissionAfter checking the requirements and if there is no problem at all, the UGTO officer in charge will now give the admission form, to be fill up by the student. USE CASE: PaymentPayment for examination is necessary in the pre-enrollment process. The student will pay the necessary amount in the cashier after filling up the admission form, to be able to take the entrance examination. USE CASE: ExaminationAfter paying for examination, the student will now be ready for examination. Usually, a student will be scheduled on a certain date where he can take the examination. But sometimes, if there are a lot of students who want to take the test, a student will take the exam a few minutes or few hours after paying for the examination. The students who are ready to take the examination are divided into groups. For instance, in a room, there are 30 students who will take the exam together. Each room is assigned with one examiner who will facilitate the exam. USE CASE: English BridgeEnglish bridge examination is given by the UGTO to those students who will not be able to pass the passing grade or percentage in the English part of the examination. A student will need to have at least 75 percent in his English to prevent taking the English bridge exam. Nonetheless, a student will take the English bridge exam if he fails to pass the 75 ratings. The English Bridge has a 10-day class before conducting the exam. USE CASE: InterviewThe students will go to their respective colleges. Each of them will be interviewed by the faculties of their colleges. One student will be asked by one faculty only. Different questions will be asked and the students' answers will be rated by the faculties. USE CASE: Medical ExamA medical exam is very important in the pre-enrollment process since this process will test how healthy the students are and their capability to adjust and take the college life. The medical examination is conducted in USEP clinic. USE CASE: PaymentsStudents need to pay the fees in Obrero Campus Student Council (OCSC), Headlight (the official newspaper/publication of USEP), and in their respective Local Councils. Students must secure the receipts because these will be part of the requirements for the enrollment proper. USE CASE: AdvisingEach course and each level is assigned to different advisers. The assigned adviser will evaluate the students one by one and checked if the requirements for enrollment are complete. After that, if there is no problem, the students will be given Pre Registration Form (PRF), where they will jot down the subjects that they can take for the semester (including the subject code, subject description, scheduled time and room). | |

| As a USePian, you cannot deny the fact that before you enter in University of Southeastern Philippines you need to undergo a lot of processes and encounter different people. Pre-enrollment covers a lot of processes. Such processes are: Below are the use case description on every use case define above. Use Case: InquiringActors: Applicant , UGTO Use case Description: The Applicant inquires in UGTO for the schedule of taking the exam but before he/she can take the exam, the applicant needs to submit all the necessary requirements into UGTO. The UGTO will schedule the exam. Use Case: Paying examination FeeActors: Applicant, Cashier Use Case Description: The Applicant needs to pay the amount of taking the exam in the cashier. The cashier will issue a receipt to the Applicant. Use Case: Taking the ExamActors: Applicant, UGTO Use Case Description: UGTO will give the schedule when he/she can take the exam. The Applicant will attend the scheduled exam for him/her. The UGTO will supervise the whole duration of examination period. After one week, the applicant will verify if she/he passed the entrance exam. He needs to have a medical certificate as one of the requirements in enrolling to the preferred college in the university. Ugto You need to show your official receipt to the ugto as an evidence that you have pay for the examination and after verifying the OR. They will provide the schedule for the date of examination. Use case for taking the exam Actor: student, Ugto Scenario: The ugto will provide a room for the list of student that will take the exam and the student. After showing the Official receipt for the evidence, the facilitator will give an instruction to the student and provide examination paper. Use case for exam result Actor: student, Ugto Scenario: The ugto will publish a list of students that pass the examination or post it to the room where the student take the exam. The student can verify if they pass or not to proceed to the next step. Use case for English bridge program enrollment Actor: student,Ugto, Cashier and International Language(IL) Scenario: The student who pass the exam will be interview by the Ugto staff and if they failed to pass the English test in the exam, they are oblige to take the English bridge program to enhance their skills in English subject. They need to pay 600 peso for the manual and another payment for the enrollment fee of the English bridge. The International language will provide the manual after paying an amount in the cashier. The ugto will provide a room and teacher. Use case for english bridge program lecture proper Actor: student, Teacher Scenario: The teacher will verify if the student is enrolled to the english bridge program by viewing the receipt and class record. | ASSESSMENT 7 Aiming to be one of the ASEAN Regions top universities, the University of Southeastern Philippines envisions itself to have a great school enrollment system. Here are some of the processes about the USeP pre-enrollment system. Use Case -Exam Requirements Basically the actors for this case will be me (student) and the UGTO employee. I will be submitting my requirements for admission test. The UGTO office will recognize my requirements and will give me the schedule of the said examination. Use Case -Admission Exam Payment On this case the actor will be me (student) and a representative from the Cashier Department. I will be paying the Admission Exam Fee which is 215 pesos. The cashier will issue me a receipt for validation. Use Case -Online Registration I will be the actor again for this case. Online registration will determine my existence to the said university. Thus it can help you if you want to know the result of the admission test. Use Case -Exam Result The actor will be me and the UGTO representative. The student will definitely go to the office and ask about the result of the exam. Some documents will be presented for verification such as the receipt, and the schedule for the exam given by the UGTO office. Use Case -Medical check-up The actor will be the student and the school health guardian. The basic thing that will be done is to have a medical confirmation that he/she is physically fit. There will be records that will be created through out the said check up. Use Case -Interview The actor will be the student and the college interviewer. At this point, student who passed the exam will have the right to choose what course they will in to. The college interviewer will ask the student about general question that relates to the course. Plus, some background checking will be a mandatory thing to do especially with the educational background. Use case -Organizational Fees The actor will be the student and the different organizational heads of the university. Payments will be done on each building inside the university. Receipts will be issued for authentication. Use Case -Scholarship Grants The actor will be the student and the OSS Director. The student will be inquiring for the different scholarships either government or private one that he/she can avail to. Records will be done when the director will be granting the request of the student. Use Case -Advising The actor will be the student and the College Adviser. The assigned adviser will evaluate the students one by one and checked if the requirements for enrollment are complete. | In every system that one encounters, there will always be a process being followed in order for the system to be organized and to have a systematic procedure on every step an individual may take. Given the example of Enrollment System in USEP, before a student can be admitted in the university, he/she must undergo several procedures in order for him/her to be officially enrolled. One of the procedures he/she must undergo is the Pre-Enrollment Procedure. The Pre-Enrollment System of the university comprises of different entities that makes up the system. The main entities include the University and Guidance Testing Office (UGTO), Cashier, the Institute of Language Facilitator, the Clinic, and the College Facilitator. The Pre-Enrollment System can be described in the form of USE CASE DIAGRAM. Use Case: Application for Admission Actors: Student Applicant & UGTO Description: In order for the student to apply for admission in the university, he must provide the necessary requirements needed by the UGTO officer to verify if the student is graduating in his secondary education and is legitimate on applying for admission. Included in this procedure is the filling-out of application form and billing of payment for the examination.
Use Case: Examination Fee Payments Actors: Student Applicant & Cashier Description: The student applicant may hand over the billing of payment to the cashier and pay the amount indicated in the billing statement. The official receipt that may come from the cashier will then be used to certify that the student applicant has paid his examination fee.
Use Case: Examination Procedure Actors: Student Applicant & UGTO Description: After paying the Examination fee, the UGTO Officer will give the student applicant the schedule for his examination and other details like the examination building, room number and the time of examination, either morning or afternoon.
Use Case: Medical Procedure Actors: Student Applicant & Clinic Description: After taking the examination, another procedure that is needed to comply is to have medical certification that comes from the clinic. In this procedure, the student applicant is examined by the head nurse of the clinic also record Dental check-up that is included in the Medical procedure.
Use Case: English Bridge Program Actors: Student Applicant, IL Faculty & Cashier Description: When the student applicant failed to pass the English Phase of the examination, he is subjected to take the English Bridge Program (EBP). Students are asked to supply module that are available in the university to guide them in their EBP class.
Use Case: Interview Actors: Student Applicant & College Faculty Description: After the student applicant passed the examination, he is now subjected to present the results to the college faculty or to the dean of his desired course. Certain interviews are made by the faculty. After the interview, the student applicant will just wait for the notice of acceptance if ever he has been accepted in the department.
After the student applicant undergo the series of procedures mentioned above, he can now move to the main reason on why he undergone those procedures, the Enrollment process, in order for him to be officially enrolled and to become a bonafide student of the University of Southeastern Philippines.

At the very first phases of the admission process at the university the aspiring applicant should have knowledge and enough perseverance. The very first step is also the very first test if the student is worthy to be called USePian. Those steps are listed in a use case diagram below. USeP Pre-enrollment Use Case Diagram: Use Case: Register Online Actor: Student Applicant Scenario: The applicant will fill-up the online pre-registration form found in the USeP’s website before the applicant will be given POS (Payment Order Slip). Use Case: Issue POS Actor: Student Applicant, UGTO Scenario: The person in-charge of releasing the POS at the UGTO (University Guidance and Testing Office) will check if the applicant has already registered online before the person in-charge will issue POS. Use Case: Present POS Actor: Student Applicant, Cashier Scenario: The student applicant submits the POS to the cashier together with the amount stated at the POS and the student applicant will be given a receipt. Use Case: Get Testing Schedule Actor: Student Applicant, UGTO Scenario: The person in-charge at the UGTO will look at the receipt and will give the student applicant its examination schedule. Use Case: Take USePat Exam Actor: Student Applicant, UGTO Examination In-charge Scenario: The student applicant shows the POS together with the receipt and the schedule given by the UGTO to the examination in-charge and then takes the admission test. Use Case: Get Results Actor: Student Applicant, UGTO Scenario: The student applicant shows the POS to the one in-charge of releasing the USePat results then the one in-charge will issue the results of the admission test to the student applicant. Use Case: (If enrolled to EBP) Pay EBP Fee Actor: Student Applicant, Cashier Scenario: The student applicant submits the POS issued by the EBP enrollment in-charge together with the amount stated at the POS and the student applicant will be given a receipt. Use Case: (If enrolled to EBP) Undergo EBP Actor: Student Applicant, EBP Teacher Scenario: The student applicant will be given a module which is included on the POS and will undergo classes in English and will be given a certificate after the student applicant finishes the program. | Online Registration This will let you know the registration and the exam results via internet. The admission office or the UGTO will be aware on your registration or existence on the university Admission Student must gather all the university Requirements and must fill the exact information for registration as well as the examination fee at the cashier and bring back the receipt. Admission office will provide the examination schedule. Exam The student will take the exam on the scheduled date otherwise, student will not be recognize. After the exam, results will be announce later by the admission office and whether the student will undergo EBP(English Bridge Program). Interview The student must fill up the requirements needed for the interview by the college faculty. After that, college will announce the interview result. Clinic There will be a basic medical examination if the students are physically or having a medical condition. The clinic will give the result for the requirements on the enrollment. Payments The students must fill up the requirements for payments on the organization fees such as OCSC, HEADLIGHT and the LOCAL COUNCIL. This is mandatory to improve the University. Scholarship If the student is a scholar, he/she must fill up the requirements on the OSS to recognize his/her as a scholar on the university. The OSS will give the card to proceed the next step for the enrollment process. Advising This part is to evaluate the student. he/she must undergo to advising to know his/her status on the college. Must have the required grades and units to enroll. After advising, the adviser will give the PRF or the pre registration form regarding on the subject he/she will be enrolling. | |
