For years now, CD-R King has been serving people in bringing gadgets, accessories, and PC stuffs in affordable amounts. CD-R King is considered one of the most success and busiest stores inside and out of the malls. Based on the last year’s available products served by CD-R King are some PC parts (e.g. mouse, keyboards, fans, HDDs), flash disks, memory cards, CDs, speakers, etc. But now, CD-R King has expanded its products and based on the observations inside the store, CD-R King is selling cellular phones, flash storage, networking devices, memory modules, electrical accessories, digital cameras, TVs, tablets, laptops and even school supplies like pens, scrap book materials, pentel pens, crayons, and other art materials.

Despite the expansion of inventory to many other products, CD-R King did not engage on any automated process in their system. CD-R king gives manual service to the customers which I find very sluggish from giving warranty stickers to issuing receipts. Here are some observable steps or process inside CD-R King.


Assignment 13 (Due: March 9, before 01:00pm)   Priori10First thing a customer needs to do is to get priority number in order to be attended. Even if the customer just asks for the availability of a certain product, the attendant would just say, “kuha lang ug priority number para matawag ka,” which I find very aloof to the customers since not all can be available in the store. What if the product he’s looking for is out of stock, he would just waste his time waiting for his number to be called and then the attendant would just say, “Sir, out of stock baya inyong ginapangita na product.” Anyone could be pissed off with that answer.


Assignment 13 (Due: March 9, before 01:00pm)   Snoop10After getting a priority number, the customers will just wait for their numbers to be called. Some of the customers have short patience of waiting that result to abandoning their priority number. Some customers would just place the number back in the rack, making it available to the next customer. In this case, the customer who got the priority number will be attended first than those customers who arrived earlier than the latter customer. This would lead to customer rivalry. I say customer rivalry because it happened to me a lot of times and all I did was to mumble silently towards other customers.


Assignment 13 (Due: March 9, before 01:00pm)   Testin10After the number has been called, the attendant will serve the customer. Most of the products are needed to test to determine if it works well before handing over to the customers. CD-R King has its Testing area for some accessories and PC stuffs that are subject for testing. Headsets, PC mouse, keyboards, flash disks, cooling fans, and other stuffs are some of the products that need to undergo testing. Some of the customers bring their purchased products to complain on the deficiency of the item. The testing of the item will be done in the Testing area. Once the item has been proven defective and the warranty of the item has not yet expired, the item will be replaced with a new item.


Assignment 13 (Due: March 9, before 01:00pm)   Receip10Placing warranty stickers and issuing receipt is the next process after the item/s has been tested. Given the fact that CD-R King is a successful accessories store, the issuing of receipts is made manually. Written in the official receipt are the name of the customer, number of items, item codes, and the signature of the customer.

Assignment 13 (Due: March 9, before 01:00pm)   Listin10Together with the issuing of the receipt is the listing of items being sold to the customers. It serves as their hard copy of the lists of items that has been sold and pulled out in their store. The listing of items is also done manually. The attendant writes the item code, the item description and the amount of the items individually. After issuing of the receipts, receiving payments, and issuing warranty stickers, the item is now sold to the customer.

So that is the typical process of transactions in CD-R King. Based on the previous experience and observations that we have done the past days in CD-R King, I can say that manual issuing of receipts and listing of stocks takes time in entertaining one customer considering that the items in CD-R King are in demand because of its affordable prices. Most of the complaint of the customers is the sluggish transaction process being served to the customer.


Suggestions
After presenting the process of transactions and some negative points of CD-R King, my task here is to suggest ways and means to improve the business process of CD-R King and to develop use case diagram and use case description, activity diagram, and data flow diagram.

Suggestion#1
Before the customers get their priority number, there should be a certain area that would check the availability of the item they’re looking. With this Item Checking Area, the customers can assure that the item they need is available and the priority number they have in hand is worth the wait.


Suggestion#2
The automation of issuing receipts can be a big improvement in the business process of CD-R King because it could save time in encoding the items, unlike in the manual way of issuing receipt where the attendant writes all the items being sold to the customers and manually gets the sum of the items. It could also multiply the work of the attendant since the issuing of receipt is automated, the encoded items will also be listed as sold items so that when having inventory checking, they can follow the items sold through the encoded lists.

CDR-King is one of the biggest computer-related items distributor. Our facilitator Sir Randy Gamboa assigned us to analyze their business process since they are leading in producing computer paraphernalia but they still doing manual operation especially in checking if the items is available or not.

This is the activity diagram of the current transaction in CD-R King. When the customer arrives at the store of CD-R King, CD-R King attendant will not entertain there customer at first. The customer must have priority number first and wait for their number to be called. When their number is up it is the time they will entertain them. The customer orders the item he/she wants. After ordering the item the attendant will check if the item is available in their store. If the item is not available the customer will end the transaction. If the item is present the attendant will show it to the customer so that the customer can verify the item if it is the item he/she wants. After verifying it, the attendant will check if the item is functioning well and after that the attendant will issue a warranty, official receipt and list the item that was sold. So that they have a copy of the item and the OR number of the item that was sold. The issuing of receipt and listing the items are done manually. After that the customer will give the payment to the attendant and the attendant will give the item to the customer. And that is the typical way of the transaction in CD-R King.
After observing there process I’ve come up some suggestion so that there transaction will be faster and the customer will not wait for so long. My suggestion is that when issuing receipt and listing the item sold they must have a cashier for issuing the receipt and for listing the item in the database of the cashier computer when the item is done purchasing. And for the priority number I have observe that it is manually called by the attendant some customer will not notice it if their number is called already. I have suggested that they will have a LED Display that showing what number that they will cater so that the customer can see what number they cater.

CD-R KING WAY!


It will never be a new taste for you if we talk about the most affordable and a quality based technology items which is the famous CD-R King. A type of store where different gadgets, hardwares for TV, cellphones, and most especially for computers. They are very concern with the techy environment for all Filipinos at affordable prices. Different kinds of routers, USBs in different styles, keyboards, antennas, laptop fans, hubs, switches or let's just say: "Tech all you want store". That is the CD-R King things.

As a part of our assignment for the course subject System Analysis and Design, we were tasked to have some investigation with regards to the working process done by the human resource pane which are the employees to the different customers. Thus, we will be checking how they handle such pressure to the thousands of customers they are serving everyday. There are many branches of this shop all over Metro Davao. And we decided to observe CD-R King at Victoria Plaza Mall Branch which is the nearest branch from our school. After the observation for three days we will be designing some ways on how to improve the customer service of the said store.

Use Case Description for Item Checking via a Computer

1. Upon arriving to the store, customer can freely check the item he/she wants to buy using a computer owned by CD-R King.
2. The customer can freely check the price too of the item plus the updated information of the products.
3. If the customer is not that literate much about computer then an assistant will be the one to handle the checking process.
4. If the customer/employee was able to determine availability of the item, then that's the time that the customer will decide if he/she will process to buying process.

Use Case Description for Getting a Priority Number

1. The customer can get a priority number.
2. An employee will call the next priority customer.
3. An employee will entertain the available customer.

Use Case Description for Testing and Packing the Item Purchased

1. The customer will verify the item.
2. An employee will then respond and get the item.
3. An employee will then do some testing process to ensure the quality of the item.
4. The customer will be present during the testing.
5. After testing, customer will then decide if he/she will pick the item.

CDR-King is a company that sells product related to the computer like flash disk, mouse, router, lights for the computer and others. All over the years, they earn reputation and popularity in terms of cheapest gadgets. As you visit one of the branches of CDR-King, you will notice that the employees are so busy because of the costumers. We are now going to evaluate the system of the company on how to improve their business process.
I draw the current system and to be system so that we can compare.

BRIEF USE CASE DESCRIPTION

CURRENT SYSTEM-------

SELECT ITEM (actor: customer, sales man) - in this case, the customer get a priority number and if the number is called, the sales man will entertain the concern of the customer. After selecting an item, it is being pass to the cashier.

PAY ITEM (actor: customer, Cashier employee) – The cashier employee will record the product manually for warranty purpose. The customer pays for the item(s) and cashier sign the record book for authentication purpose and then the customer is also ask to sign. The cashier provide receipt for the transaction and give it to the customer.

ITEM CHECK (actor: customer, tester employee) – The customer has a freedom to test the item(s) if it is fully functional. The tester will ask for the items and if it’s not functioning properly, they can replace it.

ITEM STOCK (actor: Sales man, tester employee, Stock employee) – If there are defected items or the display product is nearly consume by the customer, she will get another additional stock.

SUGGESTED SYSTEM--------

SELECT ITEMS (actor: customer, cashier/ sales employee) – In this new system, sales employee can be a cashier at the same time to speed up the transaction process. The customer gets a priority number and if the number has been called, the customer will be entertained.

PAY ITEMS (actor: customer, cashier/ sales employee) - After choosing item(s), cashier/sales employee recorded the names and details of the product. The customer pays for the selected item(s) and the cashier/sales employee sign the record book and so as the customer. The cashier/sales employee provides receipt and the customer received it and also the item(s).

ITEM CHECK (actor: customer, tester employee) – The customer has a freedom to test the item(s) if it is fully functional. The tester will ask for the items and if it’s not functioning properly, they can replace it.

ITEM STOCK (actor: Sales man, 2 Stock employee) – If there are defected items or the display product is nearly consume by the customer, she will get another additional stock. Additional function for this item stock is they will also hold calls from the customers.

CALL FOR ORDER (actor: customer, 2 Stock employee) – The customer have a choice to go physically into the shop or call. This time, the customer calls to order product. The stock employee check the product if it is available. If it is available, the employee gets the address.

DELIVERY (actor: customer, Delivery boy) – After the customer calls for an order, the stock employee rely it to delivery boy. The delivery boy delivers the product to the address given by the customer. After the boy rich the address, he/she give the product to the customer and the boy will ask the customer to sign the receive form and then the boy will give receipt for the transaction.

Suggestion:
My suggestion to improve the system of cd-r king is to combine the two employees from the cashier and the sales lady. For they do this, the work will shorten because the customer don’t need to walk into another employee for paying the products. Another is to add new employee in the stack holder part of the system. The reason behind this is that the two employees will be responsible for answering the calls from the customer. My main idea is to add a delivery system to extend their market area. It is also needed to hire new employee for the delivery service. 5 people is enough to cater all those calls.

This is how busy CDR-King is and this time, we waiting and we are not in line because each of us has priority number. The process are slow because only 1 person is assign for the payment system and because of this, sometimes customer tend to walk away because of the delays.

Observations:
The Process
• To accommodate costumer, the have to get a piece of paper that will indicate their queue
• the costumer that will be served will be called and surrender their Queue number to the Attendant
• the costumer will choose the items that will be purchased
• the attendant will test the product in the testing area
• When the costumer is satisfied with the quality of the product, the attendant will now issue a receipt and give instructions about the warranty of the products.
• The costumer will then pay the items that are purchased to the attendant
• The attendant then give the payment to the cashier.
The Area
• Most of the products were hanged and some of the products are displayed through the mirror.
• There is no waiting area
• No security guard

Suggestions:
• I suggest that it would be better if they will change the system of accommodating the costumer to make the service fast and more convenient. The changes will be about how the product will be displayed, it is better to display it like a display in a book store or convenience store or a grocery store to avoid the queue in searching for the item or finding the item in the store. With that, it would be needed to add more cashier in order to lessen the queue when paying for the items that will be purchased.
• To avoid theft and shoplifting, it would be needed to have security guard and a device that will detect items that was not paid like in the clothing line stores .

CD-R King is a store in here the Philippines that sells computer parts and computer gadgets at a very cheap price. They are located on malls alongside other computer stores that sell the same goods. This shop has a mission of providing reasonably priced products to the Filipinos. In our three days observation in CD-R King, together with Alexander Manlod, we observed one disadvantage on their business process. This is also our own experience on buying something from CD-R King. When buying on their store, you will experience a quite long time of standing and waiting before you can get the item you want to buy. This is because the store is crowded with customers, and they only have two to three salespersons in a stall, and they are even slow in giving your receipts as most of their products are covered by some warranty, and it has taken me nearly an hour to fall in line in a queue to complete my purchase.

Now, from that observation on the business process of CD-R King, we can create a suggestion on how to improve their business process. Below are the diagrams that shows the process that I want to suggest to CD-R King.

Automation takes time, money and marketing, which few people in the business really have, or can afford. But this would be a big help to increase costumer satisfaction and improve services.

My observations on the store CDR KING:

• The costumer will get his/her priority number.
• The costumer will wait for his/her number to be called.
• The customer will be served and choose an item.
• The CDR KING attendant will test the product.
• If the costumer decides to buy the product, the attendant will give the warranty of the product.
• The customer will pay the product.
• The attendant will issue the receipt.
• The attendant will give the money to the cashier
• The attendant will give the product and the receipt to the customer.

My suggestion on the process of paying and choosing an item on the store CDR KING is that to avoid waiting, before getting a priority number, the customer will check if the item he/she chooses is available. After that, the customer now will get a priority number. Also, there is no waiting area. There are only at least 2 attendants will serve their customers.

MY SUGGESTION:

My suggestion is that, there should be two attendants entertaining the customer, one attendant will check if the item is usable and good to use and the other attendant tells the customer on how to use the item and also it tells about the terms and condition of the store.

Suggestion:
CDR king initially lack of human resources that could entertain customers at a time. they should improve their peopleware to cater all of the customers and clients that keep coming. at some point, they spend too much time on paper based transactions such as issuing official receipts and other process involving on the company. on today’s business strategies, upgrading automation are not just an option to a company, but one of the process in determining the success of its business.

CD-R King is known to be one of the top shops in the field of computer peripherals, computer parts and components, computer accessories, etc. and so with car accessories and many more which are affordable because of its low prices. Basically, one question that could be incorporated with CD-r King is that "why they still do the manual procedure of entertaining their customers while they are selling almost complete components of a computer?"

This manual process done by CD-R King seems so outdated in terms of the usage of high tech gadgets for productivity concerns. On my opinion, since CD-R King already caught the attention of various people, they must try to upgrade their facilities as well as the capabilities of their employees. Investing into automated process or system could help them to expand their service: they could serve more customers and they could have increase their profit. If they will continue to have their manual process, they must employ more personnel to be able to accommodate the customers in a least amount of time.

CD=R King Process

Priority Number: Before a person could have the chance to be entertained by CD-R's staff, he or she must get a priority number. He or she must wait until his/her number is called. Sometimes, patience is what a person needs in order to get what he/she wants because CD-R King has plenty of costumers that is why it takes time to have a transaction.


Item Availability
: By the time a person's number is called, he/she will be entertained by a personnel of CD=R King. He.she will tell the personnel about the product he/she needs and the personnel will look for that item. If the item is available, it will be subject for testing. But if the product is not available, the customer will decide to change his/her order or just go home.


Product Testing: If the customer has already decided the product that he/she wants to buy, the CD=R King personnel will have to check if the chosen product functions well. If the product has a defect, it is subject for replacement, otherwise ready to be paid.


Payment: After assuring the efficiency and functionality of the item, the customer needs to pay the total amount of the product he/she has chosen. The customer give the payment to the cashier. At the same time, the cashier will issue a receipt. Then, the staff will pack the item/s bought by the customers.


My Proposed System For CD-R King

To be able to increase the productivity of CD-R King, basically, they must try automation. But since they are more comfortable in doing the manual transaction, I must suggest that they employ more employees that are more well-trained, and more approachable and pleasing. In terms of facilities, they must expand their place, considering that they must be more accessible by their customers. Also, they could try to invest in having high tech machines.

Prior to have customers' Priority Number, I also suggest that they could have the list of their products together with the prices printed on paper so that the customers will just check the item they desired to buy. For that, they could minimize transaction time allocated and the customers will immediately know if they can afford the item they want to have.

As we had visited CDR-King in Victoria Plaza branch, we first observe their operations regarding in customer services and any concerns in their products or items. I can say that they have a quality customer services because they have knowledge in all kinds of technology products and items that their store are providing. They can address all the concerns of the customers and they can provide all kinds of answers in the problems in their products and items because they assigned at least a single staff for their customer assistance so that they can provide a quality services in their customers. I also have transactions in other branches, in CDR-King Gaisano Mall and CDR-King Gaisano South Citimall. In those branches, they have the same processes and problems with the CDR-King Victoria Plaza branch. Their transactions in cashier are manual and it is time consuming because of that, and it also affects the other customers who are waiting for so long.

In my own opinion, they must adapt an automation process in their transaction in cashier because it is really time-consuming in manually writes all the transactions. That is also the reason why their transactions are very slow when there are many customers. As I have observed everytime I buy a product in CDR-King, there is always this feeling of impatience because of a very slow process of transaction. So adapting an automated process in their cashier can be very beneficial for the customers because it can speed up the processes of their transactions. I must also suggest about their priority numbers because it is also the reason why the customers are waiting so long because some bastard people can interchange the numbers in their stand. Instead of having a queuing number in the priority, it is interchange and the larger number is now in the front line, and that is also the reason why the customers waited for a long time because he picks a number that is not in order. So I want to suggest having an automated process of getting priority number just like flashing in a screen the queuing numbers and the CDR-King Staff is the one who gives the priority number to the customers to avoid interchanging the numbers by the other people.

CD-R King is known for its products and services. Products, CD-R King provide wide selection of products from computers parts and devices up to home and office supply needs which that are in line with technology. One stop media provider, they’ve got most of our needs with regards to technology and the products of it. And the best of all, CD-R King provides quality products with reliable warranties on it at a cost na swak sa masa and that is the reason why CD-R King is successfully in business nationwide.
Due to the product’s prices that customer would prefer buy at CD-R King making its stores to be crowded and full of customers during business hours. And with this, customers would have to wait for a long period of time just to buy their needs. Even though they provide priority numbers, it does not help with the situation due to these problems:
- Manual issuance of receipts to every product being purchase by the customer.
- Slow service time of sales person,. Napakarami na nga ng tao eh pa bagal-bagal pa ang sales person.
- Lack of Sales Person.
It is a pain kung isang item lang ang bibilhin mo tapus kailangan mong mag wait ng for almost a hour. In my own perspective, I would suggest that:
- CD-R King should adapt automated issuance of receipts on purchase products.
- Increase number of sales person on the store but only on those times that customers are many.
- Train sales person to be quick in making transactions to the customer but see to it that customer is still entertained well.

In Davao City there are 6 branches of CD-R king stores all in all, this are: in Family and Friends Fortune Mall at San Pedro Street, Gaisano Mall Davao, NCCC Mall Davao, Robinsons Cybergate Davao, SM City Davao and Victoria Plaza Mall Davao. And the one that we choose to visit is in the Victoria Plaza Mall Davao.
Cd-r King has gone a long way to success. It started out from selling CD's and PC peripherals. Then, from Mp3 players, Mp4, Mp5, video card and expanded its inventory to many other products — flash storage, networking devices, memory modules, electrical accessories, digital cameras, TVs, tablets, laptops and many more. The company expanded aggressively despite not going into the franchising business because all outlets are company owned. And there vision is to provide every Filipino with the latest technology at an affordable price and missions to be the No. 1 top media & technology provider in the Philippines that could provide the latest technology at an affordable price without extra cost and also to be able to deliver up-to-date technologies to the Philippine market with the latest computer related products as well as computer accessories. Despite of the expanded products they have sale and expansions of outlets all over the country they were operating in manual service for their customers and did not take a risk to have an automated system.

In the Victoria Plaza Mall branch of Cd-r King this are the process or steps to be follow:
• The first step to do by the customer is to get a priority number

After the number has been called, the attendant will serve the customer. And then test the products if it is ok.

Then they will place a warranty sticker to the product and they will issue the receipt and the next process after the product was been tested they will issue the receipt manually and they will ask the customer to write the name of the customer and have the signature of the customer to the receipt. The receipt contains the name of the customer, number of products, item codes, and the signature of the customer. Simultaneously with the issuing of the receipt is the listing also of products being sold to the customer and serves as their hard copy of the lists of products that has been sold and pulled out in their store. The listing of items is also done manually.This is all based on the experienced and observations we have done in the past few days in Victoria Plaza Mall Cd-r King.
